    How to respond to Google reviews, with examples

    Your reply to a review is read by everyone who looks at your profile, not just the person who wrote it. Here's how to respond step by step, the structure that works and examples for every type of review.

    Why respond to every review

    Google recommends responding to reviews, and it makes sense: a reply shows there's someone behind the business who listens. You thank the people who gave you five stars and give the ones who had a problem a way forward.

    But the most important reader is someone else: the customer who doesn't know you yet and is comparing businesses. Seeing friendly, specific replies, even to criticism, gives them the confidence to choose you.

    How to respond from your Business Profile

    1. Search for your business on Google or Google Maps while signed in to the account that manages the profile.
    2. Open the Reviews section of your Business Profile.
    3. Click Reply on the review, write your response and post it.

    Your reply shows up under the review with your business name. You can edit or delete it whenever you want, and the customer gets a notification when you respond.

    When should you respond? As soon as you can. Ideally within a day or two. A reply to a complaint posted months later doesn't help anyone.

    The structure that works

    Almost every good response follows these four steps:

    1. Thank them by name. Make it personal from the first word.
    2. Mention something specific they wrote, so it's clear you read it.
    3. If there's a problem, acknowledge it and offer to talk by phone or email, without arguing in public.
    4. End by inviting them back. Short and friendly.

    If it fits naturally, mention your service and your area, for example "our lunch specials downtown". It helps readers understand what you offer and makes the reply more useful.

    Respond in the customer's language. It's a detail people really notice, especially at businesses with lots of tourists. If you're not fluent, keep the reply short and double-check the translation.

    Mistakes to avoid

    • Copying and pasting the same reply. People notice right away and it looks like you don't read anything.
    • Arguing in public. Even if you're right, readers only see a fight.
    • Sharing the customer's personal details, like what they bought or when they came in, if they didn't mention it themselves.
    • Promising what you won't deliver. A broken promise ends in another, worse review.
    • Leaving negative reviews unanswered. They're exactly the ones people read most.
